A personal assistant would help to organize files and get a printer and scanner to work. Checking emails and faxes and coordinating busy physicians' schedules at work, private practice, and home office.

We are looking for a Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner.

Job Details:
  • You will work on a one-to-one basis on various tasks related to the physician's working life, personal life, and communication.
  • Senior-level Professional organizer/Personal Assistant Responsibilities.
  • Acting as the point of contact between a very busy physician, staff business planning budgeting, etc.
  • Screening and directing staff's phone calls and distributing correspondence
  • Handling requests and queries appropriately.

Responsibilities:

  • Act as the point of contact between the physician and internal/external clients.
  • Screen and direct phone calls and distribute correspondence.
  • Handle requests and queries appropriately.
  • Managing multiple projects and scheduling meetings and appointments.
  • Make travel arrangements.
  • Take dictation and minutes.
  • Source office supplies.
  • Produce reports, presentations, and briefs.
  • Devise and maintain an office filing 
  • Running errands.
  • Supporting physicians as requested with various tasks as delegated.


Requirements:

  • Proven work experience as a personal assistant.
  • Knowledge of office management systems and procedures.
  • MS Office and English proficiency.
  • Outstanding organizational and time management skills.
  • Up-to-date with the latest office gadgets and applications.
  • Ability to multitask and prioritize daily workload.
  • Excellent verbal and written communication skills.
  • Discretion and confidentiality.
