Position: Administrative Specialist (40 hours/week)

Overview:
The Administrative Specialist supports the efficient functioning of the Corporate Office, including managing meeting schedules and preparing materials, maintaining accurate records, providing general office management, and giving administrative support to executive leadership. Some evening and occasional weekend hours required.
The posted pay range of this hourly position is $24 to $26. The actual rate of pay offered within this range may depend on several factors, such as FTE, skills, knowledge, relevant education, experience, and market conditions. Additionally, our organization values pay equity and considers the internal equity of our team when making any offer. Hiring at the maximum of the range is not typical.
Duties:
Coordinate meeting arrangements and hospitality; handle technology aspects of meeting logistics; draft routine correspondence and meeting minutes; prepare committee and board meeting materials; proofread documents; coordinate and prepare mailings (including mail merges); greet and assist office visitors; maintain church delegate, board, and committee member records; follow up with constituents to answer questions or gather information; assist with events; manage reservations for meetings and events; anticipate needs by staying on top of schedules; and provide office management (monitor supplies, assist with copier issues, sort mail, etc.). Directly support the President/CEO, CFO, Vice President of Communications & Stewardship, and Director of Community Services.

Qualifications:
Degree in Office Administration or Administrative Services preferred. 3+ years executive-level support experience required. Critical thinking skills essential. Expert-level skills with MS Office Suite, including mail merges. Superior spelling, grammar, and proofreading skills as well as meticulous document formatting and attention to details. Ability and desire to follow established procedures. Ability to meet overlapping deadlines. Friendly, confident, helpful, calm, and patient demeanor. Professional presence. Familiarity with database maintenance (e.g., entering and updating records, exporting lists) helpful.
